Short answer
Before shipping, stop until you have a confirmed receiving arrangement. If you already shipped, contact the carrier immediately. Explain that the hotel cannot accept the bag and ask what can be changed for your shipment. For luggage still with you, consider storage instead. A storage reservation is not permission to send a courier delivery to that business.
Do this now
- 1Establish whether the bag has been handed over.
If it is still with you, pause. If shipped, find the receipt and check tracking.
- 2Clarify the hotel’s receiving limitation.
Ask whether the issue is staffing, timing or refusal of courier deliveries. A self-check-in label alone does not tell you the property’s actual arrangements.
- 3Contact the carrier about an existing shipment.
Explain the refusal and your stay dates. Ask which alternative can be arranged before assuming a different hotel or office will receive it.
- 4Confirm the next destination or keep the bag with you.
Agree on acceptance, any charge and collection requirements. If shipping is not workable, choose storage for the bag you have.
Before shipping
Yamato’s hotel/ryokan FAQ makes delivery conditional on the property agreeing to accept the luggage. Confirm this with the destination before handing it over.
For its Haneda/Narita airport delivery service, Yamato explicitly excludes accommodation without staff to receive luggage, including unmanned hotels and Airbnbs without staff. Do not treat a key box as a receiving arrangement. For another service, ask the carrier to confirm the applicable conditions.
That airport service offers Yamato Sales Office pickup for a staffless stay; pickup is during business hours and convenience stores cannot be its pickup location. Ask the airport counter to select an eligible office. For a hotel-origin shipment, ask Yamato whether office pickup is available for your particular service before addressing the bag there.
Already shipped
Contact the carrier with the tracking number and explain that nobody can accept delivery. Ask whether a destination change or collection arrangement is possible now. Do not make a second booking and assume the shipment changes automatically.
Yamato requests transfer enquiries by phone. Its address-change FAQ describes additional forwarding charges collected at delivery; tell support about the hotel’s receiving and payment limitations.
If office pickup is agreed, confirm the exact office, when the bag is ready, its opening hours and what you must bring. Yamato’s pickup FAQ lists identity proof such as a passport and permits a handwritten signature instead of a seal; members should bring the delivery-completion email if received.
Need somewhere to store it now
For a suitcase you still have, ask whether your hotel can store it in person. Accepting a bag at reception and accepting a courier shipment are different arrangements.

If that fails
If no receiving arrangement has been confirmed, keep an unshipped bag with you until you have one. For a bag already with the carrier, ask it to explain the available next step and keep the waybill. Do not assume a hotel, storage business or sales office will accept an unannounced delivery.
